How to transcribe a meeting

  1. 1

    Record the meeting

Use the recording feature in your meeting tool, or any recorder you like. Get consent from participants where the law requires it.

  2. 2

    Upload the recording

Drag the video or audio file into the box above.

  3. 3

    Check who said what

Rename the speakers so the transcript and summary use real names.

  4. 4

    Share the outcome

Ask the AI for decisions and action items, then export the transcript as TXT, DOCX or PDF.

Three ways to transcribe a meeting

None of these is right for everyone. It depends on whether you need notes during the call and how you feel about a bot joining.

Built-in transcripts

Zoom, Google Meet and Teams each have their own. They are convenient if your plan includes them and you turned them on before the call. They stay inside that tool's account.

Bot notetakers

Tools such as Otter, Fireflies, Fathom and tl;dv can join calls and take live notes, and many connect to CRMs. Some now offer capture without a bot. They work best when you set them up before the meeting.

Upload the recording

This is how GhostMinutes works. It is the simplest route for a meeting that already happened, a recording someone sent you, or a call where you would rather not add a bot. It does not give you live notes during the call.

When a bot notetaker is the better choice

You need notes during the call

GhostMinutes on the web works after the meeting. If you want a live transcript on screen as people talk, use your meeting tool's transcript or a live notetaker.

You need automatic CRM updates

Sales teams that want every call logged automatically are better served by a tool built around that integration.

What you get with GhostMinutes

No bot in your call

You upload the file after the call, so nothing shows up in the participant list.

Old recordings work too

Upload a recording from today or from last year. GhostMinutes takes MP3, MP4, MOV, M4A, WAV, FLAC, MKV and other audio or video formats up to 1 GB.

Speaker labels and timestamps

Each line shows who spoke and when. Rename the speakers, then ask the AI questions about what was said.

95+ languages

Transcribe and summarize in more than 95 languages. GhostMinutes detects the language of each file automatically.

Audio deleted after transcription

The web app deletes your audio file right after processing. Transcripts are encrypted at rest and kept for up to 90 days unless you delete them sooner. We never sell them, share them or train on them.

Free plan, then from $1 a month

Free includes 150 minutes a month. Lite is $1 a month for 600 minutes, and Pro is $5 a month for 3,600 minutes.

Meeting transcription questions

You can try it without an account. A free account includes 150 minutes a month. On the web, free uploads cover the first 30 minutes of a recording, and every upload uses at least 15 minutes of your balance.

Try it on your own recording

Upload a file and get the transcript, speaker labels and an AI summary. No card and no signup.
